Tableau Using a Bookmark to Copy a Sheet to Another Workbook

A bookmark is simply a standalone sheet that is a snapshot of that sheet at a particular point in time. You can also use it as a way to reuse the work involved in creating that sheet. The bookmark contains details about the data (the data source) and layout information for that sheet.
Tip: Starting with Tableau Desktop 8.1, you can also use new functionality for copying and pasting sheets between workbooks. Copying and pasting sheets also copies any information that the views in the sheets depend on. For information, see Copying Information Between Workbooks in the Tableau Desktop Help.

Setup

If the workbooks use data connections that have the same name but have differing data, you may want to rename one of the data connections before adding the bookmark to the destination workbook.

Step 1

In one of the workbooks, select the data source on the Data menu > Rename (for 6.1 and earlier, select Data > Data Connection > Rename).

Step 2

In the Rename Connection dialog box, type a new name for the data connection, and then click OK.

Create a bookmark

Step 1

Open the original workbook and display the sheet you want to use as a bookmark. If the destination workbook is open, close it.

Step 2

Select Window Bookmark > Create Bookmark. (For Tableau Desktop 61. and earlier, select Bookmark > Create Bookmark.)

Step 4

In the Create Bookmark dialog box, in the File name text box, give the bookmark a name, and save it in the defaultBookmarks folder in the Tableau Repository.

Note: Wait until after creating the bookmark to open the destination workbook. The destination workbook needs to add the name of the new bookmark to its Bookmark menu before you open it.

Step 5

After creating the bookmark in the original workbook, open the destination workbook.

Step 6

Select Window Bookmark, and then select the bookmark you just created. (Tableau Desktop 6.1 and earlier, selectBookmark, and then select the bookmark you just created.)
The bookmarked sheet appears in the destination workbook.

Resolve naming conflicts

Tableau compares the data when you add the bookmark to the destination workbook. If the data source names are the same and the data is the same, or if the data source names are different, Tableau adds the bookmark to the destination workbook without comment. If the data sources have the same name, but the data differs, Tableau gives you choices for resolving the problem. The usual solution is to rename the data source introduced into this workbook by the bookmark.

Step 1

In the Data Source Name Conflict dialog box, select Rename new data source.

Step 2

In the text box, edit the name of the new data source.

Step 3

When finished, click OK.

Change the data connection of a sheet
